Sharing & access control

Note: these can be managed by admins for organizations.

What’s the difference between public and organizational sharing?

  • Public Sharing: Anyone with the link can access the content, regardless of their association with Perplexity.

  • Organizational Sharing: Only people within your Perplexity organization can access shared content. When someone clicks a link, we verify their organizational membership before granting access.

What happens when unauthorized users try to access content?

If someone attempts to access content they’re not authorized to view, they’ll see a “404 Not Found” error message indicating the content isn’t accessible.

Will disabling public sharing affect previously shared content?

No, turning off public sharing won’t affect the sharing settings of existing public threads or pages. They will remain accessible through their existing links.

User roles & permissions

Important for organization administrators: The organization file repository is being retired. Download all organization files your team needs by October 1, 2026. Files remaining after that date will be deleted. The Manage org file repository control and repository-specific download controls will be removed. See Download and move your organization files.

Are permissions customizable for individual users?

No, permission rules are applied uniformly across all users within their respective roles (members or admins).

What’s the difference between member and admin roles?

During the migration period, admins can download organization files and can allow members to help. New uploads are no longer supported, and the repository controls are being removed.

Can an admin still access the organization file repository during migration?

Admins can download organization files during the migration period. This access is temporary and should be used to complete the migration before October 1, 2026.

File downloads

How do file download controls work?

The general Download files permission is separate from Manage org file repository and remains available for user-uploaded files that support downloads, including files attached to sessions and files in Projects. Connector files also remain subject to the source service’s permissions.

When file downloads are disabled, users cannot download files from these locations. During migration, organization-file export also requires download permission.

Data retention

Can I make sure data is not saved in Perplexity?

Admins can enable incognito mode for all users from Organization Settings > Data and privacy > Data Retention by toggling on Enforce Incognito Mode. Sessions including attachments are retained for 24h. During those 24 hours, threads can’t be shared and are not accessible through your history.
